This privacy policy applies to all personal data processed by Televic Education NV, located at 8870 Izegem, Leo Bekaertlaan 1 (Belgium), VAT number BE0405.314.795, which is the Data Controller of this website.

The Data Controller highly values your privacy and processes your personal data in accordance with European Regulation 2016/679 of 27 April 2016 on the protection of natural persons concerning the processing of personal data (hereinafter “GDPR”) and any future or supplementary legislation implementing it, as applicable.

What does “processing personal data” mean?

Processing personal data refers to any activity involving data that can identify you as a natural person. What data do we process?

Below, we clarify the types of data we may process about you. Depending on the specific situation, your preferences, and how you contact us, we may not process all the listed data.

The data entered into our platforms are processed as processors. We are not the Data Controller in these cases. For information about processing activities involving your data while using our platforms or to exercise your rights regarding these processes, please contact the Data Controller (the person for whom the platform was set up).

Customer data 

For our main activities, including the use of the AssessmentQ platform, we process the following personal data from our customers:

  • General identification data (name, first name, salutation, login data, etc.);
  • General contact details (email address, address, phone number, etc.);
  • Data relating to your role on the platform;
  • Contractual data (e.g., address, VAT number, agreements, quotes, etc.);
  • Payment and billing details (account number, billing address, etc.);
  • After-sales service;
  • Testimonials, surveys, promotional content such as photos and videos on social media (e.g., reviews and experiences of our services, posts on social media via our accounts such as, but not limited to: LinkedIn, YouTube, X, Instagram, and Facebook).

Suppliers and service providers

As part of our collaboration with suppliers and service providers, we process the following personal data:

  • General identification data (name, first name, salutation, etc.);
  • General contact details (email address, address, phone number, etc.);
  • Company-related data, as long as such data identifies a natural person;
  • Contractual data (e.g., address, VAT number, agreements, quotes, etc.);
  • Payment and billing data (e.g., invoices, etc.);
  • Feedback, testimonials, quotes, promotional content (e.g., reviews and experiences of our cooperation, testimonials, quotes, attendance at events, etc.).

Candidate employees

For candidate employees, we may additionally process the following data, depending on what you choose to provide during the job application process:

  • General identification data (name, first name, salutation, etc.);
  • General contact details (name, first name, email address, address, phone number, etc.);
  • CV, cover letter;
  • Personal details;
  • Job-related data;
  • Personality traits, tests, interviews;
  • Photos or video materials provided by the candidate employee.

Website visitors

From visitors of our website www.televic.com/en/education, we may process the following data:

  • IP address, browser type, location data, how the individual arrived at the website, interests, and navigation behavior on the web page (via strictly necessary, analytical, and marketing cookies);
  • Name, first name, email address, and contact message (via the online contact form).

Marketing activities

We process the following data in the context of marketing activities:

  • Sending newsletters via email;
  • Trade fairs (e.g., business cards);
  • Professional data (public contact details of the company).

For what purposes do we process your data?

Personal data is processed solely within the scope of our business and specifically for the following purposes:

  • In the context of the sale of our products and services;
  • Managing the online order platform;
  • For marketing purposes, such as retargeting (data is obtained exclusively via the website);
  • Participating in trade fairs;
  • Complying with administrative, legal, and fiscal obligations;
  • Communicating with customers and prospects;
  • Employee recruitment process.

On what grounds do we process your data?

We process your data only for the purposes described below, and we do not collect or process more data than necessary for these purposes.

We process your data based on one of the legal grounds listed in the GDPR, as outlined below:

Legal obligation 

Certain data is processed to comply with legal or regulatory obligations imposed on us, for example, regarding tax and accounting or data protection obligations.

Necessary for the performance of the contract 

Certain data is processed by us because it is necessary for entering into, executing, or terminating an agreement with you as the data subject. For example, for contacting, scheduling, responding to a request, or requesting information in the context of establishing a contractual relationship, but also for the effective execution of the contractual task in the context of our main activity, in order to provide you with our services or to receive services from you.

Legitimate interest 

Certain data is processed by us based on our legitimate interest, which in specific cases outweighs any possible harm to your rights. For example, sending a newsletter to our existing customers, improving the quality of our services, training employees, evaluating and maintaining data and statistics related to our activities in a broad sense, retaining and using evidence in the context of liability, legal proceedings or disputes, and for the purpose of archiving activities; and ensuring security, both online on this website and within our business premises.

Consent 

Certain data is processed based on your consent, for example, sending newsletters to non-customers, using certain analytical or marketing cookies, or posting photos containing personal data on our website or social media. Data from applicants after the recruitment process will only be retained with consent.

Origin of the data

Most of the data we process has been directly obtained from you. However, within the framework of our services, we may also receive data about you from external service providers or public sources.

With whom do we share your data?

We do not share your data with third parties unless it is strictly necessary for the purposes outlined above or we are legally required to do so.

Where necessary, we rely on external service providers (processors) to support our operational purposes, such as the management of our websites and IT systems. These external service providers may carry out certain data processing activities on our behalf. We will only share your data with these external service providers to the extent necessary for the specific purpose. They are not permitted to use the data for any other purposes. Furthermore, these service providers are contractually bound to ensure the confidentiality of your data through a “data processing agreement” that has been concluded with these parties.

Specifically, this means that we may share your data, as relevant to your situation, with the following third parties for the following purposes, where these third parties may act as processors on our behalf:

How long do we keep your data?

 We do not retain your data longer than necessary for the purpose for which it was collected or processed. Since the retention period depends on the purposes for which the data was collected, the storage duration may vary in each situation. In some cases, specific legislation may require us to retain the data for a certain period. Our retention periods are always based on legal requirements and a careful balance between your rights and expectations and what is useful and necessary to achieve the purposes. After the retention period expires, your data will be deleted or anonymized.

Where do we store your data and how is it protected?

We implement appropriate technical and organizational security measures to prevent the destruction, loss, alteration, unauthorized access, or unlawful disclosure of your data to third parties, as well as any other unauthorized processing, within the scope of our activities.

Additionally, we ensure that the processors we engage also implement appropriate security measures to minimize the risk of incidents as much as possible.

If your data is processed outside the European Economic Area (EEA) when using specific services or software tools, this will only occur in countries where the European Commission has confirmed an adequate level of data protection. Alternatively, measures will be taken to ensure the lawful processing of your data in these third countries.

Right of access and copy

You have the right to access your data and receive a copy. This right also includes the possibility to request further information about the processing of your data, including the categories of data processed and the purposes for which this is done.

Right to rectification

You have the right to have your data corrected if you believe we have inaccurate information.

Right to data erasure (right to be forgotten)

You have the right to request that we erase your data without unreasonable delay. However, we may not always be able to fulfill such a request, for instance, when we still need the data for an ongoing agreement or when retaining certain data is legally required for a specific period.

Right to restriction of processing

You have the right to request a restriction on the processing of your data. This means the processing is temporarily halted until, for example, the accuracy of the data can be verified.

Right to withdraw your consent

Right to object

You have the right to object to the processing of your data based on legitimate interest, which must be done for reasons related to your specific situation. You can also object to the use of your data for direct marketing purposes. Marketing emails will always include an opt-out option.

Right to data portability

You have the right to receive the data you have provided to us with your consent or in execution of a contract in electronic form. This allows the data to be easily transferred to another organization. You also have the right to request that we transfer your data directly to another organization, if technically possible.

Right to lodge a complaint with your supervisory authority

If you believe that we are processing your data incorrectly, you have the right to file a complaint with your supervisory authority for data protection.

How can you exercise your rights?

You can exercise your rights by contacting us either by email at support@televic-education.be or by post at Leo Bekaertlaan 1, 8870 Izegem (Belgium), along with a copy of the front side of your identity card or another document that allows us to identify you. The copy will only be used to verify your identity in accordance with the GDPR.

Changes

We reserve the right to modify this Privacy Policy. The most recent version is always available on our websites. You can find the date of the last modification of this Privacy Policy at the top of the document. In the event of a substantial change to the Privacy Policy, we will, if possible, inform the affected individuals directly.
